Key activities in your role will include
- Objective 1: Procurement focal point for AAH, Central Darfur Base -Receiving incoming Purchase Requisitions (PRs), verify that required signature/ authorizations, grants numbers, date required and point of deliveries are shown on the PRs. -Prepare Request for Quotations and dispatch to suppliers. -Receive quotations/bids, presented to screening committee, Prepare quotations Analysis. -Provide reliable and timely weekly procurement tracking status report. -Prepare and implement Procurement Orders and Procurement Agreements. -Manage the distribution of orders to appropriate suppliers -Perform compliance-related spot-checks to ensure adherence to regulations and rules, as well as with the relevant contract award authority. -Sourcing/Selecting qualified suppliers. -Conduct negotiation with suppliers including negotiating best possible price, payment terms, and delivery schedules. -Supplier relationship management, measuring & managing supplier performance (price, delivery, and quality) and identifying supplier risks. -Prepare suppliers’ payments and pass them to the Logistics manager for verification before forwarding the documents for approval and submission to Finance. -Ensure all goods and services ordered are received and dispatched to the respective locations.
- Objective 2:WAREHOUSE MANAGEMENT -Respect AAH stock management procedures (records, filling, identification). -Ensure proper identification of all arrival/departure material (quantity, quality, and delivery). -Ensure correct preparation of deliveries -Respect AAH physical stock management requirements (organisation, cleaning, ventilation) -Follow-up with special attention expiry date of drugs & food, and warns the concerned department two months before expiry date. -Conduct monthly inventory of stock and ensure that stock cards are created, up-to-date, and accurate. -Compile monthly inventory/stock report for logistics manager -Assist in equipment and stock inventory when needed
- Objective 3: Additional responsibility -Ensure team spirit and motivation within AAH team. -Motivation to work in an international /inter-cultural context. -Travel as required to current bases and new areas of operation, as requested by Logistics Manager -Any other duties assigned by the Logistics Manager
- Objective 4: Personal requirement: -Professional and transparent, team spirits and good communication skill, organize and rigorous, ability to quickly integrated and working environment. -Proved team-work experience and of coordination of staff under its supervision. -Independently plan and achieve objectives -Interact with external partner and lead meetings. -Identify problems and process solutions. -Flexible work schedule and work planning in advance. -Regular contact with external partners. -Fulfill any duties that are inherent to the position and requested according to mission needs and context.
- Objective 5: safety and Security : -Respect the security rules of Action Against Hunger. -Report any security incident to Country Director.
Do you meet the profile required criteria?
- -Minimum 3 years previous experience in the field of Logistics in humanitarian sector with an international INGOs experience an asset.
