JOB PURPOSE

To support the delivery of quality, customer-focused, value for money administrative services that enable staff in country/location operations to deliver food assistance to beneficiaries, in line with WFP’s strategy.

KEY ACCOUNTABILITIES (not all-inclusive) 

Under the direct supervision of the Accommodation and Facilities Officer, the incumbent will perform the following duties:

  • Providing technical support and services for the planning of ongoing projects or rehabilitation works, practice the best engineering application and the innovative technologies related that comply with WFP standards, policies and processes.
  • Providing technical guidance that support successful and sufficient procurement process and implementing market assessment for all required resources.
  • Managing the operation and maintenance works for permanent WFP guesthouses, supervising the standard measurement of accommodation provision desired by WFP policies and acting as focal point for all managers of the WFP guesthouses in Sudan
  • Developing remedial plans and standard procedures that facilitate the WFP accommodation management policies.
  • Providing tools, proposals and SOPs for WFP accommodation and support their managing teams.
  • Following the implementation of the Humanitarian Booking Hub and Accommodation Digital Office at all WFP Accommodation in Sudan.
  • Providing support with the preparation of technical documents related to CO and AO facilities management.
  • Familiarize her/himself with the WFP accommodation standards in the directive (RMM2019/001- RMW2019/001) and guidance on WFP-provided accommodation in the field in the directive (RMM2017/003 – RMW2017/001) and request support if required.
  • Ensure each accommodation focal points took the WeLearn, and Digital Office Accommodation dedicated training and receive a certificate of successful completion.
  • Overview the GH accommodation focal points performance and provide support when required.
  • Liaise with Accommodation Global Team on field accommodation issues and management related.
  • Monitor the use of the global corporate Digital Office by accommodation focal points with booking, occupancy, pricing, invoicing, maintenance, expenses, revenue, reporting and training services under the Global Accommodation Corporate Booking Service.
  • Ensure comprehensive data entry on a monthly basis.
  • Ensure accommodation quality standards, rules and regulations are met at all times.
  • Provide support to focal points with standard guesthouses maintenance.
  • Identify and propose any required extraordinary maintenance.
  • Process and following up on the procurement processes for the guesthouses required items.
  • Periodical guesthouses report preparation for CO management review.
  • Provide tools and means for the accommodations O&M and support their managing teams.
  •  Any other duties requested to support the Accommodation management.

STANDARD MINIMUM QUALIFICATIONS 

Education:

First level university degree or advanced university degree in Finance, Business Administration, Accounting, or related fields.

Experience:

At least two years of experience in Business/Public Administration, Engineering, or other relevant field relating to facility management or administration

Language:

Fluency in English and Arabic.

  • Has gained experience in administration.
  •  Has demonstrated a high level of proficiency in WFP administrative operating standards in day-to-day work.
  •  Has provided coaching or training to new staff members within area of expertise.
