These two (2) positions are located in the United Nations Integrated Transition Assistance Mission in Sudan (UNITAMS). The United Nations Security Council adopted resolution 2524 (2020) authorizing the mandate of UNITAMS which is to assist the political transition, progress towards democratic governance, in the protection and promotion of human rights, and sustainable peace; support peace processes and implementation of future peace agreements; assist peacebuilding, civilian protection and rule of law, in particular in Blue Nile and South Kordofan (the Two Areas) and Darfur; and support the mobilisation of economic and development assistance and coordination of humanitarian assistance.

These positions are based in Khartoum, Sudan.

One (1) position is located in the Office of the Special Representative of the Secretary-General. The incumbent will report to the Special Assistant.

One (1) position is located in the Integrated Office of the Deputy Special Representative of the Secretary-General. The incumbent will report to the Special Assistant.

Responsibilities

Within the limits of delegated authority, the Senior Staff Assistant will be responsible for performing the following duties:

  • Manages the calendar of meetings and appointments of the SRSG/DSRSG with senior Government officials, diplomats, heads of international organizations, dignitaries and other high-ranking officials, including administrative and logistical matters;
  • Reads all the correspondence, both incoming and outgoing, screens and prioritizes all incoming correspondence, and where necessary consults the SRSG/DSRSG. The incumbent routes and distributes routine and confidential material and maintains code cables and general management files.
  • Prepares and administers the SRSG/DSRSG’s travel programme, including folders for business trips and meetings;
  • Keeps others informed by conveying directives, reports, status updates and other relevant information, and brings sensitive and urgent matters to the attention of the SRSG/DSRSG;
  • Assists in the overall administration of the mission, provides substantive and administrative support in managing priorities and workflow in the office of the SRSG/DSRSG and the work unit, coordinates multiple and diverse activities and work processes to ensure management of
  • directives and decisions;
  • Handles a wide range of administrative duties and processes, leave requests, attendance records, timesheets, travel arrangements, visa applications, expense statements, telecommunications charges, equipment purchase, services and supply requisitions, conference rooms booking, etc;
  • Serves as communications link between supervisor and senior staff on behalf of supervisor;
  • Compiles relevant background documents and references, identifies issues requiring the SRSG/DSRSG’s attention and refers others to relevant officers for appropriate disposition, monitors and follows-up on actions to be taken;
  • Performs other related work as required.

Education

High School Diploma or equivalent

Work Experience

A minimum of eight (8) years of progressive experience working in a political department and/or for a high-ranking UN Official is required.
Experience working with diplomatic personnel and/or providing services to or in a field operation of the United Nations Common System or a comparable international organization is required.
Experience working in Sudan or other countries of East Africa is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Fluency in Arabic is desirable.

Special Notice

This job opening is being advertised for advance planning purposes pending formal approval of the relevant funding and staffing structures. An appointment may be terminated, or post level adjusted in accordance with the Staff Rules for such reasons as abolition of post or reduction of staff or committee funding approvals, for example in the event that the funding for the post is not approved or the mandate of the mission is not extended.

The selected candidate will be expected to deploy in time to commence work no sooner than 1 January 2021.
